Salesforce Administration Services

Small Salesforce requests can create a large operational backlog. Macrofix helps your team manage agreed user-access requests, configuration upkeep, reports, data-quality routines and documentation through an administration service with clear approvals and acceptance checks.

Keep Everyday Salesforce Tasks Under Control

ERP hub connected to customer, commerce, warehouse and reporting systems, with an exception inbox

When teams change, their CRM needs change too: a new user needs the right access, a report needs a corrected filter or a validation rule needs review. We make those requests traceable and assess their impact before changing the supported org.

Administration focuses on defined operational tasks. Our broader Salesforce managed services adds recurring service governance, support coordination and release planning. Major custom development and data migration are separate workstreams unless explicitly included.

Salesforce Administration Built Around Approved Requests

We agree the supported orgs, request types, workload, business approvers and authorized roles before work begins. The administration backlog can cover selected user lifecycle tasks, configuration adjustments, reporting changes and approved data-quality work. Licensing, external identity providers, integrations and package constraints are assessed rather than assumed away.

User Lifecycle and Permission Requests

Handle agreed onboarding, team-change and offboarding requests with named customer approval. Review the user license, required tasks, permission assignments and relevant data visibility before proposing an access change. Removal of access and transfer of record ownership need defined responsibilities.

Salesforce recommends task-based permission sets and permission set groups for object access in its object permissions guidance. We review the full relevant access path rather than assuming a single assignment determines everything a user can see.

Configuration and Automation Upkeep

Review approved changes to fields, layouts, picklists, validation rules and selected automations against the workflows they affect. Identify dependencies and test representative success and failure cases before an authorized release.

A routine request may expose a larger design issue. We document that boundary and recommend a separate development or integration workstream where needed, instead of making an expanding change under the label of housekeeping.

Reports, Dashboards and Folder Access

Maintain selected reports and dashboards with agreed metric definitions, filters, grouping and audience. Check the business question and data source before altering a calculation or making a dashboard available to more people.

Folder sharing and data visibility are different concerns. Salesforce explains report folders, dashboard running users and edition-dependent dynamic dashboards in its reporting overview. Our acceptance checks include what representative users should and should not see.

Data Quality and Operational Housekeeping

Review agreed quality signals such as missing required business information, inconsistent values, outdated ownership and suspected duplicates. Assign a data owner to approve corrections and decide which records need investigation.

Bulk updates, merges, imports and deletion are not automatic cleanup actions. We agree the record scope, backup or recovery approach, trial evidence and customer authorization before any potentially disruptive data operation.

Documentation and User Enablement

Keep request decisions, configuration notes, report definitions and selected operating instructions current. Explain approved changes to the users and internal administrators who need to work with them.

Knowledge transfer covers the work delivered within scope. It does not replace product training for every Salesforce feature or promise that every inherited customization can be documented without further assessment.

Define Your Salesforce Administration Scope

The administration scope names the orgs, supported request categories, customer approvers and working arrangements. It defines how requests are submitted, prioritized, estimated, tested and accepted.

Confirm available capacity, coverage hours and escalation paths in the proposal. New cloud products, large redesigns, incident-response commitments and third-party responsibilities are not silently bundled into a routine admin engagement.

Make Admin Access and Changes Reviewable

Use named, customer-approved access suited to the task, with a record of why a change is requested and who approves it. Evaluate object, field and record access where relevant, including permissions inherited through profiles and permission sets.

Production changes, sensitive access expansion and destructive data operations require explicit authorization. We do not weaken authentication or grant broad data privileges just to make an admin request easier, and this service is not a security or regulatory certification.

Our Salesforce Administration Process

Establish a baseline and request process, clarify the business outcome and dependencies, then propose the change for approval. Test it in an appropriate authorized environment, release through the agreed controls and confirm the result with the request owner. Update the relevant operating notes before closing the task.

Accept Admin Work With Practical Checks

Accept the task against its original business request. For access work, check allowed and denied scenarios; for reports, review values and visibility; for configuration, check affected workflows and known dependencies.

Keep unresolved exceptions visible with an owner and next action. A request being marked complete should mean its agreed checks were met, not that the entire Salesforce org has been certified correct or secure.

Salesforce Administration FAQs

The agreed scope can include user lifecycle requests, permission reviews, configuration upkeep, selected automation adjustments, reports, data-quality routines and documentation. We name the supported orgs, request categories, approvers and capacity in the proposal. Major development, migration and new integrations are not automatically included.

Administration delivers defined operational tasks and approved adjustments. Managed services is the broader recurring operating model for incident coordination, release readiness, backlog planning and service reviews. Administration can sit within a managed-service engagement, but the scope and responsibilities still need to be agreed.

We review the license, task requirements and relevant object, field and record visibility, then propose appropriate permission assignments for customer approval. Blanket administrator access is not the default answer. Acceptance includes representative allowed and denied scenarios, and sensitive access expansion needs explicit authorization.

We can maintain selected reports and dashboards within scope, including metric definitions, filters, grouping and audience. We review folder access, dashboard running-user behavior and relevant data permissions before accepting visibility changes. Feature availability and dynamic-dashboard options depend on the Salesforce edition and configuration.

No. Suspected duplicates require a business-owned decision about matching, record relationships and the intended result. Bulk corrections, merges or deletion need agreed scope, trial evidence, recovery planning and explicit authorization. A data-quality review is not permission to remove records automatically.

We can complement an internal administrator or deliver a defined workload under agreed responsibilities. The engagement does not automatically transfer every platform obligation to Macrofix, and it is not a security or compliance certification. We document the work performed, its acceptance evidence and any unresolved dependencies.
