Master Data Management Consulting

When customer, product or supplier records disagree across systems, cleaning a spreadsheet is only part of the answer. Macrofix scopes master data management consulting around shared entity definitions, source authority, matching decisions and the people responsible for maintaining them. We help design or implement a bounded master-data service with traceable rules, stewardship workflows and validated downstream use.

Give Shared Business Entities Consistent Meaning

Data sources flow through a governed reporting model into dashboard charts

We begin with a business domain and the systems that create, change and consume its records. The engagement defines what an entity means, how it is identified and which attributes can be trusted from each source. Technology choices follow these requirements rather than assume a new MDM product is necessary. Our data platform services cover the wider foundation; data engineering services can deliver the agreed interfaces. For an Odoo-led solution, explore the existing Odoo master data management system offering.

Master Data Management From Domain Design to Handover

Choose a domain and readiness assessment, master-data design, matching pilot or scoped implementation. Deliverables can include entity models, source-to-master mappings, standardization and survivorship rules, stewardship tasks, integration specifications and acceptance evidence. The proposal identifies domains, sources, attributes, consumers and environments. All-source cleanup, software subscriptions, enterprise-wide governance rollout and recurring stewardship operations are separate unless included.

Domain Assessment and Source Authority

Assessment identifies the business entities that need shared management, such as customers, products, suppliers or locations. We review source ownership, identifiers, data quality issues and the decisions consumers need to make. IBM’s master data management overview describes the relationship between core business data, shared records, models and stewardship. We use this as background, not a recommendation that every organization adopt the same product or centralize every attribute.

Entity Models, Identifiers and Relationships

The model defines entity types, required attributes, identifiers, cross-references and relationships for the selected domain. Source mappings record how local records relate to shared entities and where definitions differ. Hierarchies, lifecycle states and effective dates are included where the use case requires them. Business owners approve the model; a shared identifier does not mean every system must discard its local keys or adopt identical operational behavior.

Matching, Deduplication and Survivorship Rules

Matching design determines which records may represent the same entity and which must remain separate. Standardization prepares values for comparison; survivorship rules define how selected attributes are chosen when sources disagree. We document thresholds, precedence and exception handling, then review representative matches and non-matches with domain owners. Automated proposals are not proof of identity. Ambiguous cases need an agreed review route, and no rule set can promise to remove every duplicate without false matches.

Stewardship and Master Data Change Workflows

Stewardship design turns uncertain records and conflicting values into assigned decisions. The workflow can cover review, approval, correction, merge or separation requests and controlled rule changes. We record decision reasons and source evidence appropriate to the selected platform. Owners agree who may approve changes and how unresolved cases are handled. Building a workflow does not staff a permanent stewardship team or independently establish regulatory compliance.

Integration, Distribution and Consumer Validation

Distribution scope defines which master-data outputs each approved consumer receives, the interface format and the expected change cadence. We test mappings, identifiers, representative updates and failure handling against the agreed contracts. Source write-back, operational merges and changes to external applications require explicit authorization and assessment. Handover includes configuration, rule decisions, exception routes and run guidance. Real-time propagation to every system and ongoing operations are not assumed.

Agree Your Master Data Blueprint

The blueprint records the selected domain, entity model, sources and intended consumers. It defines authority and survivorship decisions, matching evaluation, stewardship responsibilities, distribution boundaries and acceptance criteria. We distinguish an advisory model, pilot evidence and a production implementation. Unresolved source limitations and ownership gaps remain visible rather than disappear behind a claim of a universally perfect golden record.

Assign Domain Owners and Data Stewards

Domain owners approve business definitions, source authority and acceptance priorities. Data stewards review assigned exceptions and document decisions within their authority. Engineering and platform owners maintain mappings, rules and integration behavior. Consumer owners validate how shared records are used. Authorized security and governance teams approve permitted use and access boundaries; the consulting engagement does not replace their organizational responsibilities.

Our Master Data Management Process

We assess one or more agreed domains, sources and consumer needs, then design the model and decision rules. A pilot evaluates representative data and exception routes before broader implementation. Delivery builds the scoped stewardship and distribution controls, followed by consumer validation and owner review. Handover transfers the approved assets and evidence, with additional domains and operating services prioritized separately.

Validate Master Data Decisions Before Release

Acceptance checks the agreed entity definitions, source mappings, identifiers, match decisions and selected attributes. Representative positive, negative and ambiguous cases help expose false merges and missed relationships. We review exception ownership, distribution behavior and consumer results before release. Lower record counts alone do not prove better data, and a successful pilot does not establish correctness for every future source or domain.

Master Data Management FAQs

The agreed scope can include domain assessment, entity models, identifiers and source mappings, standardization, matching and survivorship rules, stewardship workflows, integration, validation and handover. We identify domains, sources, attributes, consumers and environments. Software subscriptions, all-source cleanup and recurring stewardship operations are separate unless specified.

No. Master data management focuses on shared business entities and their records, relationships and maintenance. Data governance addresses broader ownership, definitions, permitted use and decision responsibilities across data assets. MDM needs relevant governance decisions, but one implementation does not complete an enterprise-wide governance program.

Not necessarily. We assess the domain, existing systems, matching needs, stewardship workflow and distribution requirements before recommending a tool or architecture. An existing platform may fit the scoped use case. For Odoo-led requirements, Macrofix also has a separate Odoo master data management offering; product selection and licensing are assessed explicitly.

No matching method can be treated as a universal guarantee. We evaluate representative matches, non-matches and ambiguous cases against approved domain evidence. Thresholds and rules balance missed relationships and false merges, with uncertain cases routed for review. Lower record counts alone do not prove that the resulting entities are correct.

Only where the selected interfaces, source behavior and agreed design support that requirement. The scope defines consumers, formats, cadence, update handling and failure routes. Source write-back and operational changes need explicit assessment and authorization; connecting a system does not guarantee immediate or correct propagation everywhere.

The engagement can design the agreed stewardship and permitted-use controls, but does not independently certify compliance or staff continuous review by default. Authorized organizational owners approve access and policy boundaries. Recurring exception handling, monitoring, support and additional-domain rollout need a separate operating scope.

Plan Your Master Data Management Engagement

Tell us which business entities are inconsistent, where their records originate and which processes depend on them. Include known duplicate or conflicting-value examples, current tools, approved data access and likely stewardship owners. We will shape a domain assessment or implementation phase with explicit decision rules, validation evidence and handover responsibilities.
